The Pastoral Associate for Administration manages the Parish Office including maintaining parish sacramental records, parishioner database and overseeing the production of weekly parish bulletin. Prepares various liturgical documents for weekly liturgies, holy days and funerals. Acts as HR contact for staff maintaining personnel records and HR information. Acts as receptionist assisting parishioners and visitors with various requests, sorts mail, responds to emails and telephone calls. Performs the duties of a secretary for Pastor/Parish Life Director. Works with accountant to insure bills are paid in a timely manner and interfaces with vendors regarding payment disputes. Interfaces with staff of our Parish Network of St. Thomas, St. Lucy/St. Bernadette and Christ the King Parish. Work is performed under the general supervision of the Pastor/Parish Life Director.

· Answer the phone, screen calls, and forward messages as needed
· Maintain records and assist pastoral center employees with background checks and online training programs (e.g., safe environment training, sexual harassment prevention)
· Assist parish offices with questions regarding Safe Environment and Human Resources programs and requirements
· Create PowerPoint presentations from written text
· Prepare for in-person and online trainings/meetings including: scheduling, room reservations, arranging webinars, presentation materials, etc.
· Maintain content on diocesan HR website and portal pages
· Complete special projects as needed/directed (e.g. staff newsletter, liturgical season programs)
· Assist with coordinating employee engagement events (e.g. annual picnic, health fair, etc.)
· Create and maintain pastoral center employee and clergy badges

· Respond to requests from families or individuals for service and ongoing support.
· Advocate for the senior population and, when appropriate, make referrals for services to community programs.
· Coordinate visits and phone calls to sick, frail, or homebound members of the parish, bringing Holy Communion as requested.
· Call hospitals twice a week and coordinate hospital visits and provide hospital follow-up with special attention to those who are chronically ill or in hospice care.
· Coordinate visitation timetables for parishioners and the volunteers who serve them.
· Process financial assistance requests from CAPTAIN for the FEASST (Family Emergency Assistance of Southern Saratoga County) program no less than twice a week.
· Coordinate various card writing contacts with parishioners (elderly birthdays, holidays, get well, condolence) and prayer shawl ministry.
· Establish, maintain, and update databases of persons served by Pastoral Care and the volunteers involved in Pastoral Care, creating regular reports of activities and the parishioners served.
· Recruit, select, train, and support parish volunteers for all services associated with Pastoral Care (e.g. Visitors to homebound, volunteers in nursing homes, leaders of prayer services at Schuyler Ridge and Home of the Good Shepherd).
· Arrange for imposition of ashes on Ash Wednesday and distribution of blessed palms for Palm Sunday to the homebound.
· Coordinate annual Anointing of the Sick with network parishes and arrange for individual visits of a priest to those homebound who request the Anointing of the Sick.
· Maintain open communication with the Pastor regarding parish member interactions, needs, and requests.
· Maintain up to date resources available to serve the senior and disabled populations, as well as community resources for, but not limited to, Meals on Wheels, CAPTAIN, Mental Health, 12 Step Programs, Suicide Hotline, Rachael's Vineyard, Birthright, Marriage Counselors, and other Support Services, etc.).
· Participate in (as coordinator) and inform volunteers of continuing education and enrichment opportunities to develop, maintain, and expand skills in Pastoral Care, as well as arrange for and participate in days of reflection/retreat for volunteers.
· Participate in training and ongoing meetings at the local, regional, and diocesan levels, with the Pastor's prior approval.
· Other duties as assigned.
· Active member of the Roman Catholic faith community in good standing who participates fully in the communal worship and life of the Church.
· Able to communicate effectively both verbally and written.
· Valid, infraction free New York State Driver’s License.
· Familiarity with computer software, such as Microsoft Office Suite, Google platform, Parish Data System, and the ability to work with simple spreadsheets is helpful.
